Online Booking for Physiotherapy Practices: 24/7 Scheduling Without Phone Stress

It is Monday morning, 8:02. The phone at a physiotherapy practice in Eindhoven is ringing. And ringing. And ringing. Three lines at once, two patients in the waiting room, and the practice assistant is trying to schedule an appointment for someone who has already called back twice.

This is the reality for most physiotherapy practices in the Netherlands. The phone is the primary booking channel. And it works, until it does not. Until the line is busy, until the patient gives up and calls another practice, until the assistant makes an error because she is trying to do three things at once under pressure.

Meanwhile, that same patient orders groceries online at 22:00 in the evening, books a restaurant through the app, and arranges a parcel return without having to call anyone. But an appointment at the physio? For that you have to wait until office hours.

There is a better way.

Why physiotherapy is behind on online booking

The honest reason: most physiotherapists are busy treating patients, not dealing with IT. The software they know (Intramed, Fysiomanager, Incura) is focused on the EPD (Electronic Patient Record) and insurance billing. Appointment scheduling is often baked in, but online booking by patients? That is an add-on that costs extra, or it is not supported at all.

The result: the assistant manages the calendar manually, the phone is the only booking channel, and patients who want to book outside office hours are out of luck.

Some practices have tried to solve this with Calendly or Google Calendar. But those tools lack crucial functionality for a physiotherapy practice:

  • No multi-therapist scheduling. In a practice with four therapists, the patient needs to be able to choose who they book with, and only see available times for that therapist.
  • No link to treatment history. The therapist wants to see what was treated before when viewing an appointment. In Calendly, an appointment is a time slot, not part of a treatment pathway.
  • No GDPR compliance. Calendly stores data in the US. For a practice that handles medical data, that is a serious problem.
